FAQ — 36 questions about travel management software | Safar Plus

36 questions in 8 categories. Grouped by who asks, not by which feature the answer belongs to.

What Safar Plus is

The definition, and the three things it is not.

What is Safar Plus?

A cloud system for travel and tourism companies. It tracks a booking from the first enquiry through to settling its accounts, manages trips and tour programs priced by seat cost and traveller count, keeps each client’s details and documents in one file, and handles supplier payables, client payments, accounts and reports.

Is it an accounting system?

No. It has an accounts module, but it is not a general accounting system usable for any business. Every entry is attached to a booking and a program, which is what makes it useful in travel. If you run a non-travel business, this is not your tool.

Is it a booking engine?

No. Booking engines connect to airlines and hotels to issue tickets and confirm rooms. Safar Plus manages what surrounds the booking: pricing, the lifecycle and its deadlines, payments, payables, commission, and program profitability. If your agency uses a ticketing system, the two run side by side.

How is it different from a hotel property management system?

A PMS manages rooms: who arrived, who left, which rooms are free. Safar Plus manages a whole trip: the program, the booking, the travellers, and the hotel as a supplier. If you sell room nights, you need a PMS. If you sell complete trips, you need this.

Does it run in a browser or need installing?

In a browser. Nothing to install, no software to update, and the same link works on any device. That also means it needs a connection — there is no offline mode.

Is it right for you

The size of business that benefits, and the size that does not.

My agency is small. Is this for me?

If you handle fewer than ten bookings a month on your own, one spreadsheet usually serves you, and the comparison page above says so. Safar Plus starts where handling becomes exhausting: dozens of files open at once, more than one person editing the same data. If you have not reached that yet, there is nothing wrong with waiting.

Is it built for Umrah agencies?

Yes, and it is among the closest fits. Booking density, rates moving daily, and registration deadlines that do not slip — that is what the system was shaped around.

Is it built for charter organizers?

It is the sector it was shaped around most. Seat cost against chartered seats is the core of the product for them, because margin and loss are only visible in the difference between the two.

Does it work across several branches?

Yes. Each branch has its own reporting and permissions, and its own financial settings may differ. Two branches in one city take more setup than one branch across ten cities, because reporting and permissions are separate in the first case.

What if my business is commission-only?

Absolutely. The system tells you where your bookings come from, what your real commission is, and whether the client comes back. For outbound offices that is usually the most important decision available.

Day to day

What happens to a booking on the day it arrives, the day it flies, and the week after.

What happens to a booking when it arrives?

It enters as an enquiry with the client’s number and what they asked for. From there it moves in order: quote, confirmation, deposit, ticketing, travelling, settlement. Each state knows what must happen in it and who owns it.

How do I know what is late?

From one list: upcoming hard deadlines, confirmed bookings with no ticket issued, overdue payments, and passports about to expire. The list maintains itself, and nobody has to remember.

Does it remember the client’s passport?

Yes, and it warns before the expiry date. An expired passport is discovered at the airport; one expiring soon can be dealt with before travel for a small cost.

Does it warn me about supplier deadlines?

Yes. The free-cancellation date, the payment due date, the issue date — all are deadlines in the system, and all surface before they arrive.

Does it work with more than one member of staff?

Yes, and that is where it starts paying. Each person sees only what they need, every change is logged to whoever made it, and each agent’s commission is calculated on what they closed.

Money and figures

Margin, payments, payables — the questions nobody currently answers.

How do I know a program’s margin?

By dividing chartered seat cost by actual travellers. At a 1,180 seat cost and an 1,800 selling price the apparent margin is 620 per traveller — but at 17 travellers from 42 chartered seats, the real cost is 2,915 each. The system calculates this live.

How do I know who has not paid?

A receivables ageing report: late by a day, late by a week, past a month. Late payments also surface on the booking and on the client account, so they do not live in one place only.

What is owed to me by suppliers?

What each supplier owes you, what you owe them, and when invoices fall due. In travel these amounts are often larger than anyone expects, and often nobody asks for them.

How is agent commission calculated?

On the booking itself at close: a percentage of the booking value, a fixed amount, or a blend — as you configure it. And each agent sees their commission on every booking they closed.

What if a client cancels?

The system calculates the difference under the cancellation terms agreed with the supplier and shows exactly what remains due — to you and to them. No guessing, no manual reconciliation of the supplier invoice.

Data and security

A traveller’s data is the most valuable thing in an agency, and it deserves a direct answer.

Where is my clients’ data stored?

This is a question not answered here with a figure, because it is a question asked in a security review and a general answer is not accepted there. Ask it directly and you will get a specific answer.

What if the server is lost?

Also a question to ask directly. We do not publish a backup figure on the site that we cannot substantiate in a meeting.

Can I export my data?

Yes. Your data is yours, and export is a matter of when, not of licensing.

Who can see client passports?

Only whoever you give the permission to. Roles decide what each person sees, and obviously not every member of staff needs to see a traveller’s passport.

Migration and getting started

How to move from Excel or an older system, and how long it takes.

Our bookings are in Excel. How do they move?

We start with one real file of yours in the free setup session and move it through with you step by step. You do not import everything at once — you need less than that, and it rarely works.

How long does it take to run?

Six months or less. About two weeks to set up accounts and confirm programs and rates are right, then a gradual move of new bookings onto the system while the old ones stay put, so your work never stops on any given day.

What if I have an old system I cannot finish with?

We start with one new program and leave the old system covering whatever we have not moved yet. That is far less disruptive than attempting a single wholesale migration.

Do I need a technical person to run it?

No. Running it falls to whoever knows the business, not to whoever knows technology.

Price and terms

Why there is no number, and what we do not charge for.

Why is there no price on the site?

Because the price depends on open bookings, staff accounts and branches, and any figure shown before you have seen the system on your own file cannot be compared to anything. It is shown after the setup session.

Are there setup fees?

No. The free setup session is the setup. If migrating from an older system is in scope, it is quoted separately and before any commitment.

Is the licence annual?

Settled with the price and stated in writing before signing. There is no binding annual term before you have seen the system.

Can I try it before paying?

Yes, through the setup session: open your file, run your booking, and keep a copy. No credit card and no account, and the decision to buy or not comes after.

Who we are

The least you should know before calling.

Who builds Safar Plus?

Fekra Labs, a software company. We build systems for Arab businesses and present them in Arabic.

Are you an Arab company?

Yes, based in Egypt. That is why the interface is Arabic first, and why support happens in Arabic rather than through machine translation.

How large is the team?

Team size is not a fact we lead with, because it does not change your decision. What matters is that someone who knows this business replies within one business day.

When will I hear back?

Within one business day. And if it is urgent, WhatsApp is faster.

If your question is not here, it is probably a specific one this site does not cover yet. Ask it.
